What about having a callendar that's user specific where users(some or all) can set meetings with other people and the people could accept/deny depending on availability, a system similar to the calendar on Lotus Notes if you are familiar with it, see Cohh schedule, confirm entry to tournaments(like set tournament as a meeting). If the coding would be too much i could help.
